Job Description:

Contract to start ASAP until 04-12-26 with a possible extension.

We are looking for an organised and proactive Voids Administrative Assistant to join a busy Housing team. This is an excellent opportunity for an experienced administrator to provide comprehensive support to the Voids Service, helping to ensure vacant properties are managed efficiently and ready for new tenants.

You will play a key role in the day-to-day administration of the service by coordinating appointments, maintaining accurate records, responding to customer enquiries and supporting the team with reporting and meeting administration. This is a fast-paced role requiring excellent organisational skills, attention to detail and a strong customer focus.

Hours: Full Time – 37 hours per week
Office Base: Harvey Road
Working Pattern: Hybrid working available, typically 3 days per week in the office (subject to service needs). The first 4 weeks will be office-based for training.

Key Responsibilities

  • Provide comprehensive administrative support to the Voids Team.
  • Coordinate appointments, diaries and schedules for operational staff.
  • Maintain accurate records, databases and electronic filing systems.
  • Produce reports, spreadsheets and other documentation as required.
  • Respond to customer enquiries professionally by telephone, email and in person.
  • Arrange meetings, prepare agendas and take accurate meeting minutes.
  • Support the efficient day-to-day running of the Housing service.
  • Ensure information is handled accurately and confidentially.

Requirements

  • Previous experience in an administrative or business support role within a busy office environment.
  • Experience coordinating appointments and managing diaries.
  • Strong IT skills, including Microsoft Office, databases and spreadsheets.
  • Excellent organisational skills with the ability to prioritise a varied workload.
  • Strong written and verbal communication skills with a customer-focused approach.
  • High level of accuracy and attention to detail.
  • Ability to work independently and as part of a team.
  • NVQ Level 3 in Business Administration (or equivalent relevant experience).
