Job Description:

Contract to start ASAP until 31-01-27 with a possible extension.

JOB PURPOSE

Maintain the administration of all Temporary Accommodation processes to ensure an effective and efficient service is carried out.

Ensure that all temporary accommodation charge accounts are promptly created and maintained with a high standard of accuracy

Ensure invoices match orders and are paid within corporate timescales

RESPONSIBILITIES

To procure suitable temporary accommodation for homeless clients that is competitively priced and within Council and regional guidelines

To ensure relevant health and safety certificates are provided by accommodation providers before offering to customers

To respond promptly, courteously and clearly to basic housing needs and specific Temporary Accommodation enquiries whether these are received in person, in writing, by telephone or by email, within the target times for such responses.

To maintain spreadsheets/reports of all placements in temporary accommodation containing all relevant details, with particular emphasis on nightly and monthly costs, that can be used to check invoices

Raise orders in advance for temporary accommodation providers based on estimated need and work with finance colleagues to model estimated spend.

To process incentive and deposit payments, rent rescue payments and client refunds.

To ensure that use of Bed and Breakfast type accommodation is kept to a minimum and is only used in emergencies.

Give general advice on the Choice Based Lettings and other initiatives e.g Rent Deposit Scheme, out of borough opportunities, commensurate with the level of responsibility.

Obtain and record information clearly and comprehensively, with concise notes on applicants' digital files where appropriate.

Where an enquiry requires follow on action by others, refer the matter promptly

To maintain and develop adequate monitoring and recording systems for administering the TA process (including offers of accommodation and void property control).

To keep the Temporary Accommodation Team Leader informed of any particular trends or difficulties experienced in the monitoring processes and help maintain and update relevant procedure manuals.

To deal with claims for payment and handle queries about invoices.

To provide information and statistics to monitor the various aspects of the temporary accommodation process for a variety of returns, and contribute to reports for Housing Needs Management Team.

Be prepared to work outside of usual working hours to cover emergencies

To liase with and respond to internal staff, external agencies and Councillors.
