Job Description:
Contract to start ASAP until 30-09-26 with a possible extension.
Job Purpose
To provide professional, pro-active, efficient and effective executive support to the Cambridge City Council Leadership Team, the Leader of the Council, Councillors and the Mayor of Cambridge (Principal Clients) to enable them to fulfil their role effectively, whilst maintaining the neutrality of the office you are representing at all times.
To manage the offices of the Mayor and the Leader of the Council, to ensure there are effective briefing and administration systems in place to support them in their roles.
To provide an initial contact point for internal colleagues and external partners, callers, visitors and complainants, filtering calls appropriately to relevant parts of the Council.
Contributeto the corporate objectives and overall success of Cambridge City Council through effective working with colleagues in the Council, with partners and elected members.
Responsibilities:
Act independently and proactively to support your Principal clients, anticipating requirements and coordinating the preparation materials for committees, board meetings, and team or staff briefings.
This includes collating and creating inputs, ensuring consistency and accuracy of content, without the need for direct instruction.
Acting as a liaison between Principal clients and internal/external stakeholders, connecting stakeholders with alternative members of the Corporate Management Team as appropriate
Develop and maintain an effective briefing programme to support your Principal Client in their roles, ensuring they are informed on issues by:
Proactively anticipating issues where further information may be required
Researching information and producing briefing notes, including statistical information
Commissioning briefings from other officers
Plan and deliver Client/Member training and induction programmes, including liaising with Senior Managers over content and delivery.
Provide project administration support across key initiatives, including coordinating project documentation, gathering and analysing stakeholder feedback, and producing clear summary reports and presentations to communicate insights and recommendations to senior stakeholders.
Contribute to development and implementation of corporate policy, practice and protocols on member related service/issues.
Monitoring budgets including raising purchase orders, highlighting any issues e.g. overspends and opportunities for savings.
Carry out any other duties as required by your line manager from time to time in accordance with the grading of the post.
Run the Mayor's Office, dealing with all aspects of civic activity and associated protocols.
Provide support for the Civic and Twinning Officer post holder to ensure appropriate cover is being provided for the mayoralty and twinning functions.
