Administration Officer - Highways
Job Description:
Contract to start ASAP until 19-10-26 with a possible extension.
Job Purpose
The Administration Officer – Highways provides comprehensive administrative and operational support to the Highways team, ensuring the efficient delivery of highway maintenance, improvement, and customer service activities.
The role involves coordinating administrative processes, maintaining accurate records, supporting project documentation, and acting as a key point of contact for internal teams, contractors, and members of the public.
Responsibilities
Provide day-to-day administrative support to the Highways department.
Process and maintain accurate records, correspondence, reports, and documentation.
Respond to enquiries from residents, contractors, and stakeholders via telephone, email, and other communication channels.
Schedule meetings, appointments, and site visits, preparing agendas and taking meeting minutes where required.
Update and maintain databases, spreadsheets, and document management systems.
Assist in processing highway permits, work orders, invoices, and purchase orders in accordance with council procedures.
Support the coordination and monitoring of highway maintenance and improvement projects.
Liaise with contractors and internal departments to ensure timely completion of administrative tasks.
Prepare reports, presentations, and performance data for management.
Ensure compliance with council policies, data protection requirements, and health and safety procedures.
Maintain confidentiality when handling sensitive information.
Carry out general office duties, including filing, scanning, document management, and correspondence.
